OVERVIEW Position reports to Contracts Manager. Accountable for all administrative compliance and processing aspects of project documentation and correspondence. The position is the central hub of all communication for the project and is responsible for ensuring all elements of the job are timely and historically preserved throughout the life of the project. RESPONSIBILITIES •² Job set up for new projects (see Job Set Up Checklist) •² Generate and follow up on correspondence with project Owners, the project team, vendors, subcontractors or others, as necessary •² Expedite material purchases •² Procure miscellaneous material and Issue routine field purchase orders •² Receive material deliveries into COINS and process invoices for submittal to a/p •² Coordinate necessary documentation for processing of claims for on the job damages (begins with efficiently categorizing and storing documentation throughout life cycle of job) •² Utilize COINS to run reports and inquiries and update PMM •² Maintain job files electronically and hard copy •² Prepare, submit and reconcile monthly paperwork to project Owners, including, but not limited to DBE, SBE, Material on Hand, Prompt Payment Certificates, pay requests, etc. •² Data entry for weekly and monthly production tracking for internal or subcontract labor •² Establish/reconcile monthly pay requests in coordination with Project Manager •² Monthly closing and reconciliation of payables •² Establish professional relationships with project Owner representatives (i.e., TxDOT bookkeeper, etc.) DESIRED QUALIFICATIONS •² Minimum requirement of High school diploma or general equivalency diploma •² High level of independent decision making and ability to continually re-prioritize and plan multiple tasks on a daily basis is required •² Ability to independently generate coherent correspondence a must •² Construction industry experience a plus •² Leadership ability, self-motivated, team player! WORK CONDITIONS & COMPENSATION Flexibility to work location and hours required. Ability to pass drug/alcohol screening, physical and background check required. |
